AI auto-mapping and field matching

AI mapping tools reduce the manual work of connecting service answers to a PDF template. Use automatic mapping to suggest answer positions across a document, or ask Darcy to find the field for one particular box.

Auto-map fields onto a PDF

Build the questions that supply the answers, then add a Templated PDF action and upload its template PDF. In the PDF mapper, select Auto-map fields.

Govform can match available PDF field metadata first. Where that does not provide mappings, AI examines the PDF and the service's fields to suggest answer boxes and selection marks. The result is a set of editable mappings in the mapper.

1. Upload the intended template and confirm its page order.
2. Select Auto-map fields.
3. If mappings already exist, choose Keep existing mappings to suggest mappings for fields without one, or Delete existing mappings first to start again.
4. Review the suggested field, field part or choice and the position of every box.
5. Adjust or add mappings where necessary, then apply the action settings.
6. Generate a PDF with representative answers and check every page.

Keeping existing mappings preserves the work already shown. Deleting them removes every mapping before generating suggestions for all fields. Read the result message for warnings and fields that still need attention.

Find a field with Darcy AI

For an individual mapping box, use Find with Darcy AI and describe the answer or selection it should contain. For example, “the applicant's work email” or “mark this when they choose monthly payments”.

Darcy suggests the closest eligible field in the current service. Check the proposed field and, for a selection mark, the choice it represents. This helps when field IDs are unfamiliar or several questions have similar names.

Field matching connects a box to an existing service answer. It does not establish the meaning of an ambiguous business question. Clarify the source requirement when the suggested match is uncertain.

Review mappings with realistic values

Test long names, multi-line text, optional blanks, dates, addresses and every mapped choice. Check that boxes fit the actual PDF layout and that a selection mark appears next to the correct option. Replace or reposition incorrect suggestions manually.

Changing the source PDF can move its answer areas. Review mappings whenever the template changes. If the service includes a PDF review page, also test that the reviewed values match the generated document.

SharePoint automapping

Automap to QA site in an Add SharePoint list item action is another setup shortcut. It creates or updates QA list columns from service fields and replaces the action's existing column mappings. This is rules-based mapping rather than the PDF AI matching process.

Review the QA list and mappings before using this option. It changes the connected SharePoint list, so check the proposed impact and test Add or Upsert behaviour afterwards. Production list configuration needs its own review.
